Privacy notice for the public NEIMS website and Vital Deploy public/prelaunch services.
Effective date: June 28, 2026
This Privacy Notice explains how New England Institute of Medicine and Science LLC, including the Vital Deploy program ("NEIMS," "Vital Deploy," "we," "us," or "our"), collects, uses, discloses, and protects personal information through public websites, public forms, launch-interest workflows, and prelaunch communications.
This notice is designed to support a simple, consistent privacy program for NEIMS and Vital Deploy. It is intended for the public websites and launch-stage services. Customer portals, production agency workspaces, regulated education records, protected health information, business associate arrangements, data processing agreements, order forms, or other signed agreements may have additional or different terms.
Scope
This notice applies to public pages and forms on NEIMS websites, Vital Deploy public pages, launch-interest forms, contact forms, email update workflows, certificate-verification public pages when available, and related communications.
This notice does not apply to third-party websites or services that are not controlled by NEIMS, even if they are linked from our websites.
Personal Information We Collect
We collect only the information reasonably needed for public launch operations, communications, security, and future customer-readiness work. Depending on how you interact with us, we may collect:
- Contact information, such as name, email address, organization, role, and message content.
- Launch-interest information, such as whether you are interested in EMS continuing education, Vital Deploy, agency operations, certificate verification, or general updates.
- Communication preferences, including consent to receive updates and unsubscribe status.
- Technical and security information, such as IP address, request metadata, browser or device context, rate-limit signals, form-abuse indicators, and hashed verification or unsubscribe tokens.
- Aggregate analytics information, such as page views, referral sources, general location context, device/browser category, and site-performance information when Cloudflare Web Analytics is enabled.
- Business relationship information, such as agency, institutional, vendor, integration, or partnership interests that you voluntarily provide.
Public forms are not intended for protected health information, patient information, protected student records, sensitive personnel records, emergency requests, payment card information, Social Security numbers, driver's license numbers, or other sensitive personal information. Please do not submit that information through public forms.
Providing information through public forms is voluntary, but we may not be able to respond to an inquiry, send requested updates, or evaluate a potential relationship without the information requested in the form.
How We Use Personal Information
We use personal information to:
- Respond to contact, agency, institutional, vendor, and partnership inquiries.
- Send launch updates, EMS education announcements, Vital Deploy updates, certificate-verification notices, and related communications when requested or permitted.
- Plan, improve, and secure the NEIMS and Vital Deploy public websites, public forms, and launch workflows.
- Understand aggregate site traffic and page performance.
- Maintain unsubscribe, suppression, confirmation, audit, security, and abuse-prevention records.
- Evaluate agency needs, future integrations, outside agreements, and service-readiness requirements.
- Comply with applicable legal, accounting, security, and operational obligations.
Analytics, Cookies, and Similar Technologies
The NEIMS public site may use Cloudflare Web Analytics to understand aggregate site traffic, page performance, referral sources, and general visitor context. NEIMS does not use advertising pixels, retargeting scripts, or cross-site behavioral profiles on the public site at launch.
Cloudflare, Turnstile, hosting, security, and form-processing services may process technical information needed to provide, secure, measure, and protect the public websites and forms. If future tools materially change these practices, we will update this notice.
Email and Updates
If you request updates, we may send NEIMS and Vital Deploy communications about launch timing, EMS education, platform availability, certificate verification, public weather, community-notification tools, and related services. You may unsubscribe by using the unsubscribe link in an email or by contacting us.
We maintain unsubscribe and suppression records so that we can honor opt-out requests and avoid sending unwanted email.
How We Disclose Personal Information
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising at launch. We may disclose personal information to:
- Service providers and processors that help operate hosting, forms, databases, email delivery, analytics, security, abuse prevention, development, and support.
- Professional advisors, including legal, accounting, compliance, insurance, security, and business advisors.
- Prospective or actual agency, institutional, vendor, or integration partners when needed to evaluate or respond to your inquiry, and only in a manner consistent with the purpose of the inquiry.
- Government, law-enforcement, regulatory, or legal-process recipients when required by law or needed to protect rights, safety, security, or integrity.
- Successor organizations in connection with a merger, reorganization, financing, transfer, or similar business transaction involving NEIMS or Vital Deploy.
Retention
We keep personal information only as long as reasonably needed for the purposes described in this notice, including response history, launch operations, unsubscribe handling, security, abuse prevention, legal obligations, and business records. We periodically review launch records and delete, de-identify, or minimize records when they are no longer needed.
Security
We use administrative, technical, and organizational safeguards that are appropriate for a launch-stage public website and prelaunch SaaS program. These may include limited access, form validation, anti-abuse controls, token hashing, hosted infrastructure controls, and separation between public website data and protected application environments.
No public website, email system, or internet transmission is completely secure. Do not submit emergency requests, protected health information, patient information, protected student records, or other sensitive information through public forms.
Vital Deploy and Regulated Data
The public NEIMS website is separate from protected Vital Deploy application data and does not connect to a protected Vital Deploy production application database. Vital Deploy customer workspaces, if and when made available, may be governed by separate written agreements, data processing terms, business associate terms where applicable, agency policies, and product-specific security documentation.
Public NEIMS and Vital Deploy forms are not emergency reporting systems, clinical documentation systems, patient-care systems, student-record systems, or personnel-record systems.
International Visitors and Legal Bases
If privacy laws such as the GDPR or UK GDPR apply, our legal bases may include consent, performance of a contract or steps before entering a contract, legitimate interests, compliance with legal obligations, and protection of rights, safety, and security. Our legitimate interests include operating and securing public websites, responding to inquiries, planning services, improving launch workflows, and communicating with agencies, institutions, partners, and subscribers.
Personal information may be processed in the United States and in other locations where our service providers operate. Where required, we use appropriate safeguards for international transfers.
Your Privacy Choices and Rights
Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, objection, withdrawal of consent, or information about how personal information is used and disclosed. Some U.S. state privacy laws also provide rights to opt out of certain sales, sharing, targeted advertising, or profiling. NEIMS does not sell personal information or use cross-context behavioral advertising at launch.
You may exercise privacy rights by contacting us at msarasinmd@gmail.com. We may need to verify your request before acting on it. We will not discriminate against you for exercising applicable privacy rights.
We do not use public website information for automated decision-making or profiling that produces legal or similarly significant effects. If the GDPR or UK GDPR applies, you may also have the right to lodge a complaint with a privacy supervisory authority.
Children
NEIMS and Vital Deploy public sites are intended for agencies, institutions, clinicians, public-safety professionals, healthcare professionals, vendors, and adult learners. They are not directed to children, and we do not knowingly collect personal information from children through public forms.
Changes to This Notice
We may update this notice as NEIMS courses, Vital Deploy, certificate verification, public weather, community notifications, analytics, customer workspaces, integrations, or legal requirements change. The effective date above will be updated when material changes are made.
